The Account Coordinator is responsible for working closely with the manager of the department and the account manager team to coordinate work related to the production of projects managed by Hargrove. The department handles a large volume of work orders, projects and other details and requires support from an individual with exceptional attention to detail; ability to analyze large volumes of information and show self:initiative to support the team as the work flow requires.
You will be responsible for generating work orders/order forms for assigned personnel or jobs; managing the overall corporate calendar; research and analysis and serving as a key liaison with other departments to ensure timely, efficient processes and procedures are followed. You will also serve in an account manager role, facilitating information to all departments for execution of small:scale trade shows and events.
Responsibilities and Duties
:Maintain the divisional calendar for events as assigned.The calendar includes staffing for the division, status of projects (tentative, definite, cancelled), correct dates (move:in/move:out, access and clear:by), and times.
:Responsible for analysis of all projects and their status to facilitate early communication to Hargrove departments under the supervision of the Account Manager
:Supporting the division manager in management of project timelines to ensure the account management team is communicating requirements in an efficient and thorough manner
:Serves as a key liaison with departments performing the work to improve communication flow, resolve any challenges and provide additional information for shows as assigned by Account Manager
:Perform various account management duties such as:
:Generating and revising all floor plan requests
:Creation and distribution of work orders, shop orders, graphic orders as necessary
:Ensure ancillary support materials are created and distributed to the proper departments for production (site visit packets, project binders, etc.)
:Provide graphic management assistance as necessary, including entry, revisions and approvals under the direction of the Account Manager
:Supports the Division Manager in tracking several key tasks (Travel Requests, Fire Marshall approvals, Service Kits)
:Given the show site requirements for the account management team, they are often out of the office when emergency show site needs occur.This position serves the important role of providing rapid response to process orders and follow through to ensure show site needs are met efficiently.
:Job may entail working overtime during times of peak production, evenings, some weekends or holidays as needed.Candidate must provide own transportation to local show sites.
Required Skills and Experience
:Bachelors degree in Hospitality, Business, Marketing or related field or equivalent experience
:Strong computer skills and advanced knowledge of the Microsoft Office Suite of products
:Excellent written and verbal communication skills
:Resourceful and have ability to handle multiple tasks in fast:paced environment
:Detail:oriented, possessing exceptional organizational skills
:Proactive:Must be an effective problem:solver, implementing effective trouble:shooting techniques
:Cooperative team spirit and positive attitude a must
